How to connect Calendly

Calendly webhooks need a paid Calendly plan (Standard or above) and are created through Calendly’s API rather than in its settings screens. It takes one request, shown below. See Calendly’s webhook guide.

Step 1: Create an Integration

  1. Go to your organization’s Integrations page.
  2. Click Add Integration and select Calendly.
  3. You’ll receive a unique Webhook URL. Copy it.

Step 2: Create a Signing Key

Make up a long random string to use as the signing key, for example with openssl rand -hex 32. Paste it into the Signing Secret field on your Hookfire integration page. You will send the same string to Calendly in the next step.

Step 3: Add the Webhook in Calendly

  1. Create a Personal access token in Calendly, as described in the Calendly developer portal.
  2. Find your organization URI:
curl https://api.calendly.com/users/me \
  -H "Authorization: Bearer YOUR_TOKEN"

Copy resource.current_organization from the response.

  1. Create the webhook subscription, with your Hookfire URL and the signing key from Step 2:
curl -X POST https://api.calendly.com/webhook_subscriptions \
  -H "Authorization: Bearer YOUR_TOKEN" \
  -H "Content-Type: application/json" \
  -d '{
    "url": "YOUR_HOOKFIRE_WEBHOOK_URL",
    "events": ["invitee.created", "invitee.canceled", "invitee_no_show.created", "routing_form_submission.created"],
    "organization": "YOUR_ORGANIZATION_URI",
    "scope": "organization",
    "signing_key": "YOUR_SIGNING_KEY"
  }'

Use "scope": "user" and add "user": "YOUR_USER_URI" to hear only about your own bookings.

Calendly signs every delivery with the Calendly-Webhook-Signature header. Hookfire checks it and refuses deliveries older than five minutes.

Step 4: Subscribe to Events

On your Hookfire integration page, toggle on the events you want to receive push notifications for.

A reschedule reaches you as a cancellation followed by a new booking, because that is how Calendly reports it.

Step 5: Test

Click the Test button next to an event on your integration page to send a sample through the pipeline, or book a slot on your own Calendly link.

Supported Events

Event Description
invitee.created Someone booked a meeting
invitee.canceled A booking was canceled (also sent for the old slot of a reschedule)
invitee_no_show.created An invitee was marked as a no-show
routing_form_submission.created Someone submitted a routing form
